The Office Manager is responsible for:

  1. Administrative Support:
    • Manage and coordinate administrative tasks
    • Schedule and organize meetings, conferences, and appointments, ensuring all necessary arrangements are in place
    • Taking care of documentation and equipment inventory
    • Tight collaboration with General Manager and other Office Managers
  2. Facilities Management:
    • Oversee the general maintenance and cleanliness of the office space, ensuring a safe and comfortable working environment
    • Manage office supplies, equipment, and inventory, placing orders and maintaining appropriate stock levels
    • Coordinate with vendors, contractors, and service providers for office repairs, maintenance, and other facilities-related matters
  3. HR and Staff Support:
    • Serve as a point of contact for staff inquiries and provide guidance on office policies, procedures, and benefits
    • Helping and assisting HR Director in HR activities related with local office
    • Issue different kind of verifications, confirmations and travel warrants based on employee requests
  4. Financial and Legal Management:
    • Collaboration and communication with accountant, lawyer and bank
    • Managing received invoices and making payments based on received approval
    • Collaborate with the General Manager to manage office and company budgets, track expenses, and process invoices
  5. Communication and Coordination:
    • Coordinate and organize internal events, meetings, and team-building activities

YOUR PROFILE

Requirements

  • Proven work experience as an Office Manager, Office Assistant or in a similar administrative role
  • Excellent organizational and time management skills
  • Knowledge of accounting principles and financial management
  • Excellent English skills – both written and verbal
  • Strong attention to detail and problem-solving abilities
  • Proficient in using office software and equipment, including MS Office (Word, Excel, PowerPoint) and office management tools
  • Excellent written and verbal communication skills
  • Ability to multitask and prioritize tasks effectively
  • Strong interpersonal skills and the ability to work well with diverse individuals and teams

Considered a plus

  • Previous experience in accounting and finance management
  • University degree in Economics, Business Administration or Organizational Sciences
  • Knowledge of Labor law and other business-related laws
